I have an idea for a new class. How do I let staff know about it?

Do you have an idea for a class/program you would like to see offered by the Batavia Park District? Better yet, do you have a special interest or talent you would like to share with others? The Batavia Park District is looking for new program ideas and local “hidden” talent to teach or lead various recreational classes. We are always looking for new instructors with creative ideas. If you have a particular interest or talent and are willing to lead activities; or if you have a suggestion for a new program, please fill out this form and return it to any registration office.

*BONUS! If a program you suggest becomes a reality, you will be given the opportunity to attend that class/program FREE OF CHARGE! In the case of duplicate suggestions, names will be drawn to determine who receives the free class/program.

Electronic Signature Readers

Electronic signature readers have been installed, which eliminate the need for you to complete a paper form every time you register. The electronic reader captures your signature and confirms that you’ve agreed to the liability waiver and release of all claims. Signatures will stay on file for 12 months, and after that time you will simply stop in to our office to sign off again. If you are a regular phone-in customer, we will need to capture your signature in person in order for you to do subsequent registrations by phone. Online registration will not be affected by this procedure.

What is your photo policy?

Photos and video footage are periodically taken of people participating in a Park District program or activity, attending a class or event, or using District facilities or property. Please be aware that by registering for a program or class, participating in an activity, attending an event, or using District facilities or property, you authorize the District to use these photos and video footage for promotional purposes in District publications, advertising, marketing materials, brochures, event flyers, social media (including Facebook, YouTube, Instagram, Twitter, and other social media sites operated by the District), and the District’s website without additional prior notice or permission, and without any compensation to you. All photos and videos are the property of the District.

How do I request a special accommodation?

Patrons with Disabilities

The Batavia Park District welcomes the opportunity to assist patrons with disabilities to enjoy all of our facilities, programs, and services. In compliance with the Americans with Disabilities Act (ADA), if you or a family member have special needs and would like to participate in a program, please indicate on the registration form any accommodations you may need prior to the start of the program. If you register online, please click the “Contact Us” quick link to request accommodations or contact the Park District at 630-879-5235 and staff will help process your request.

Modifications can include one or more of the following:

  • Activity Modification
  • Adaptive Equipment
  • Additional Staff Support
  • Sign Language Interpreters
  • Staff Training
  • Support Plans for Behavior, Diabetes, or Seizure Disorders

Requesting Inclusion Services

Inclusion services can be requested at the time of registration. You may verbally indicate this request on your registration form if registering in person or online by sending correspondence using the “Contact Us” quick link.

Once registration is complete, your request for support is forwarded to FVSRA for processing. Please note you must request inclusion services each time you register for a program.

Timeline for Services

For new participants, FVSRA aims to complete an intake assessment within one week of receiving your request for inclusion services. Once an individual has a completed intake on file, the average time to determine and coordinate modifications is two weeks. To provide the best customer service, we ask for at least two weeks’ notice before the start of the program to arrange modifications.

The Batavia Park District is a member of Fox Valley Special Recreation Association (FVSRA) and works collaboratively to provide reasonable accommodations for patrons with disabilities which can include: observation, staff training, additional personnel, and adaptive equipment. In order to provide the best customer service, requests for inclusion service should be made during the registration process a minimum of two weeks before the start date of any activity.

What is a waiting list?

Many of our classes have registration limits. Because of facility space and staff limitations, we cannot always guarantee you will be enrolled in the class of your choice. The Park District maintains waiting lists for classes that have reached their maximum registration and encourages everyone to be placed on a waiting list. We will open additional classes whenever possible.

Instructors and leaders are not allowed to accept any registrations and are not allowed to give authorization for more people to register than the listed maximum. Your cooperation is appreciated. Registration deadlines have been set for each class. Please register prior to registration deadline. We try to establish class status at least one week prior to starting dates. Please register at least one week prior to class unless designated otherwise.

Do I need to come in and sign a waiver if I register online?

No, if you register online, you can complete the waiver digitally during the registration process.

I need to move from one class to another. How do I go about doing this?

Please contact our registration office. We’ll be happy to assist with class transfers based on availability.

 

You can stop by the Civic Center, Callahan Community Center and East Side Community center to complete a transfer form. There is a $5 service charge to complete the process.

I need to cancel a class registration. How do I go about doing this?

To cancel a registration, please reach out to our registration office. Refund eligibility depends on our refund policy.

Batavia Park District Application for Program Refund

  1. Class Cancellations/Park District Closings:
    Class cancellations or Park District closings will result in a refund that will be mailed to the person who was enrolled in the class unless participant is a minor, the refund will go to Parent/Guardian who signs registration form. If you wish to apply this refund to another class, you must notify the Park District immediately.
  2. Refund 5 Business Days Prior to Class:
    Refund requests received 5 business days before the first class meeting will be accepted, less a service charge. If application is received less than 5 business days prior to start of program and it causes enrollment to fall below minimum and the spot cannot be filled, no refund will be given.
  3. Refunds After Start of Program:
    Refund requests received after the second meeting of the program will not receive a refund with the exception of a written medical excuse prior to completion of the program. Fees will be pro-rated starting with the day the refund form is received in the Park District Office. A $5 service charge and program supply costs will be deducted from the amount of refund for each program, including medical reasons. Medical excuses will result in a pro-rated refund based upon the number of classes held prior to the date listed on the physician excuse. If program falls below the minimum required and the spot cannot be filled, no refund will be given.
  4. One-day Program Refunds (with the exception of Klub Fun):
    Applications for refunds for one-day programs must be submitted 5 business days prior to class starting in order to receive a refund. Refunds will not be accepted after the class has ended. *All refunds will be issued in the form of a check when application is applied for before the class starts. Checks are processed by the Batavia Park District front office bi-monthly and sent via mail. *All refunds applied for are subject to a $5 service charge. Instances where fees are $10 or less, the service charge will be based on 10%.

*Kids Club, Klub Fun, New Horizons and summer camp participants are subject to different terms of refund and withdrawal policy. See parent manuals for more information.
